Privacy Notice

This privacy notice describes how Abertay University processes personal data for the Big Real Virtual Production Film Academy.

The notice also explains how we use your personal data in accordance with your rights under the UK Data Protection Act 2018 and the UK General Data Protection Regulation.

The type of personal information we collect

We will collect and process the following information:

  • Name and address
  • Contact details
  • Gender, Ethnicity, and Disability information
  • Educational information and industry experience relevant to the application
  • Your portfolio

How we get your personal information and why we collect it

Most of the personal information we will process is provided to us directly by you for the following reason(s):

  • Applying for the Film Academy
  • If successful in your application, for tracking your progress on the course
  • For our Judges to assess your application.
  • For generating reports of anonymised statistics for our partner, Screen Scotland.
  • Staying in touch with the successful participants after the Academy is finished, for marketing (please refer to No. 7,8 and 9 of the Terms & Conditions) and IP resolution purposes. Under Article 6 of the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

    (a) Your consent. You are able to remove your consent at any time. You can do this by contacting Elaine Russell e.russell@abertay.ac.uk.

Under Article 9 of the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing your special category information are:

(a) Your explicit consent for processing data about gender, ethnicity, and disability. You do not have to provide this information, and can remove your consent at any time by contacting Elaine Russell e.russell@abertay.ac.uk.

How we store your personal information

Your information is securely stored on the Abertay University servers.

We will keep the personal data on the application form for the unsuccessful applicants until 1 October 2025. The personal data of the successful applicants who are selected to enter the Academy will be kept for 3 years after the application deadline for the purpose of intellectual property resolution and marketing (please refer to No. 7,8 and 9 of the Terms & Conditions). We will then dispose of this information by manually deleting all the data, including contact details, from the system after the required minimum period.

Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information.

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
